1.1 Purpose

The purpose of this process is to generate, validate, and publish the daily Lenovo Stock Report by consolidating inputs from multiple data sources, performing required data cleansing, mapping, and validation, and ensuring accurate reporting to the concerned CC and business stakeholders. This process supports analytics, business planning, and operational decision-making.

1.2 Scope

  • Geographic Scope: India.
  • Business Segment: GSC
  • Process Frequency: Daily
  • Preparing daily CON, SMB, and ECOM summary sheets and cross-verifying them with the final outputs.
  • Distributing the final validated Stock Report and associated summaries.

1.3 Business/Segment Overview

The stock data spans multiple product categories such as Notebooks, Desktops, Workstations, Tablets, Raw Materials, Services, and Refurb products. These are mapped to corresponding business segments including CON, SMB, WEB-CON, WEB-SMB, WEB-TAB, MFGRM, Services, and No-Map categories. The report output helps Lenovo track inventory position, distribution center (SLOC) attributes, DOA cases, commodity segmentation, and business classifications to support supply chain, sales, and operational teams.

1.13 Steps of Procedure

  • Now take Stock Report and Closed Order Report and paste it in Server 1 Path: D:\i-Rainbow\StockClose.
  • Now from open yesterday’s Stock File present in the folder and open today’s stock file
  • In yesterday’s stock file leave 10 lines and delete all lines and paste today’s data and copy formats from yesterday’s data to today’s data and delete the 10 lines leaving header and rename the file to today’s date
  • EX: Stock Report May-26 stock Report May-27
  • Do the same process for closed Order Report
  • And run the REL TO QVD qw present in the same folder and save and exit
  • Now open present day’s CFOC dump and in distribution channel column select 31 and then in storage location select blanks and change it to L920
  • And now remove filters and select IN5A in plant column and then in storage location column select blanks and change them to L90X
  • Now remove filters once again and select blanks in storage location and change them to L908.
  • Remove filters and save the file
  • Now copy CFOC Dump and Stock Revenue file and paste it in server 2 path : C:\i-Rainbow\Input FF\Mapping and delete yesterday’s CFOC Dump and Stock Revenue and paste today’s files.
  • Now run Stock Report_Shiva all v2 Sample.qvw from path: C:\Users\Reports GSCSI\Desktop\Stock Report Sample
  • And now run the qw and check if the value shown in qw

STOCK REPOER STEPS

  • Should match the value of the sum of the below columns from Stock Report
Unrestr. Trans./Tfr Qual.Insp. Restricted Blocked Returns
  • Now in the qw scroll down to the last and then select the last table SR.Unrestricted and right click and press send to excel and save the file as Stock_Report_ddmmyyyy
  • In the file remove SR. from headers
  • Now select the last 3 table i.e RAW and then right right click and press send to excel and save the file as Raw month-DD
  • Save both the files in Binary format XSLB
  • Dollar value has to be updated at the first of every month and dollar value should be asked via mail to Arun Selvaraj.
  • Now open the following files-today’s Stock Report-ddmmyyyy, yesterday’s Stock Report ddmmyyyy,FG aging file,Con base file,DOA(data extracted from FG AGING File),BOOK 4(contains MTM’s to be mapped to CON),Stock BIZ mapping file
  • TO make DOA File, open FG file insert a column and then concat material and plant code and storage location and apply to the whole column
  • Now search for DOA indicator column and select DOA from filter, now Copy 4 columns

  • And paste it into a new workbook and save it as DOA
  • FG file will be given every week by Prashant sir
  • Copy brand and oh product segment and paste it next to material.

Steps for commodity mapping

  • Now open Today’s Stock Report and insert a column next to commodity column and map it with material from stock report and FG aging file material with brand column and then break link
  • Now select blank and #N/A from the inserted column and then map it with yesterday’s stock file using material and map commodity.
  • Now remove filter and check for #N/A,if present see descriptions if its Desktop or DT map it as Desktop, if its NB WS map it as Workstation_NB, if Thinkstation map it as Workstation_DT, map rest NB to notebook,
  • For other #N/A see storage location ,if L915 map to services and if plant is i210 and i220 map it to raw material, if its tablet map it to tablet
  • For other #N/A refer yesterday’s stock file and MAP
  • Now change the column name to commodity and delete the Original commodity column

Steps for stock biz mapping:

  • Now insert 2 columns to the right of BIZ column
  • In that column map biz using MTMPLANTSLOC from yesterdays stock file
  • Break links
  • Now filter down and select #N/A and in the second inserted column map using MTMPLANTSLOC from STOCK BIZ Mapping file(which needs to updated everyday from yesterday’s stock file, by pasting MTMPLANTSLOC, BIZ, Commodity and removing duplicates)
  • Now break link and filter down and select every biz present one by one and map the #N/A to their respective mapped biz.
  • Check mail there will be a mail from amit surve to tag no map cases to smb, map them to smb based on MTMPLANTSLOC
  • Next from CON BASE File and BOOK 4 file map all the #N/A and NO Map cases to Con and Web-Con if SLOC is L920 based on Material
  • Next remove filters
  • Now select #N/A and see SLOC if L920 is there select it and map it to FG Aging file product segment using Material and map them to WEB SMB ,WEB CON, WEB TAB based on the mapping
  • Now select L915 and Map to services
  • In Plant select I210 and I220 and map them to MFGRM
  • Map rest #N/A to no map if you don’t know storage location.
  • Delete original biz column and name first inserted column as biz
  • Now select no map from BIZ and in nature select DOA and map them from DOA File based on MTMPLANTSLOC
  • In material DESC search for (Refurb and Re furb) and change the BIZ to REFURB.

Pivot Tables

  • Copy pivot tables from yesterday stock file and paste it in today’s file and refresh the data
  • Now in ECOM PIVOT sheet add sloc to Columns and select DCFS L908 and L90X
  • Now in BIZ select CON and copy entire data and paste it in new sheet and rename as CON
  • Now select SMB and deselect CON and entire data and paste it in new sheet and rename as SMB
  • Now remove SLOC
  • Select WEB-CON and WEB-SMB and paste it in new workbook
  • Select WEB-TABLET and paste it adjacent to WEB-CON and WEB-SMB as shown below, rename it as ECOM.

ECOM

  • Now in CON sheet add blocked and unrestricted column and map them through Material from Blocked&Unrestricted sheet

CON

  • Now apply borders to CON,SMB and ECOM workbook sheet and align them and change the header colors as shown in image.
  • Cross verify and flash the data.
  • To cross verify check if the numbers from CON,SMB and ECOM are matching with FINAL SHEET.

1.14 Output Overview

The Stock Report output provides the validated daily inventory position across all product categories and storage locations. It includes updated commodity, BIZ, DOA, and ECOM mappings along with unrestricted, blocked, restricted, and other stock types. Segment-wise summaries (CON, SMB, ECOM) are generated for business visibility. Raw stock and final mapped files are also produced for supply chain and analytics use. All updated files are shared to designated servers for downstream reporting.

1.15 Validation checklist

  • For SLoc L915 Biz and commodity should be services.
  • For SLoc L920 Biz should be CON-WEB, SMB-WEB, TAB-WEB also NO MAP & Refurb can be present.
  • FOR I1210 and I1220 it should be MFGRM.
